1. About the Polypipe Perks Terms

These terms (hereinafter referred to as the “Polypipe Perks Terms”) set out the terms and conditions that apply to the loyalty scheme (hereinafter referred to as “Polypipe Perks”) which is operated by Polypipe Building Products, a registered trading division of Polypipe Limited. Company Registration No 01099323. Registered Office: 4 Victoria Place, Holbeck, Leeds, LS11 5AE (hereinafter referred to as “Polypipe Building Products”, “Us” or “We”. 

Polypipe Perks is a way for Us to reward our customers. These Polypipe Perks Terms detail how you can access the scheme and earn points to exchange for rewards. 

These Polypipe Perks Terms do not alter the terms or conditions of any other agreement you may have with Polypipe Building Products or Polypipe stocking merchants for products or services. Our Privacy notice explains how your personal data will be used by Us.

Please read these terms and conditions carefully. By registering with Polypipe Perks, you agree to be bound by these terms. If you do not agree to these terms, you cannot use Polypipe Perks.

2. Who can participate in Polypipe Perks?

You can participate in Polypipe Perks if you are a resident of the United Kingdom and aged 18+. You will be able to start collecting points once you have (a) registered an account and (b) verified your details. Polypipe Perks is only open to sole traders and small businesses (i.e. those that do not work on large commercial contracts, or have contracts with regional housebuilders or national developers) (together the “Eligibility Criteria”). 

We will inform you of Our decision within a reasonable time if you meet the Eligibility Criteria. Our decision regarding your eligibility will be final and We will accept no liability for refusing you entry to participate in Polypipe Perks. We reserve the right to assess your compliance with the Eligibility Criteria at any time while you are using Polypipe Perks. If at any time We decide that you no longer comply with the Eligibility Criteria, We reserve the right to terminate your account from Polypipe Perks.

Polypipe Perks has its own website www.polypipeperks.co.uk .  This is where you will register your account, review your points balance and redeem your points. You must only create one account per sole trader or small business (less than 5 employees). If you create more than one account, We reserve the right to deactivate your accounts.

You are responsible for the security and confidentiality of your username and password. If you sell any device on which you have logged into Polypipe Perks, you must log out of your account from the device before handing to the buyer.

The data you provide Us must be accurate and up to date to continue using Polypipe Perks. 

It is free to join Polypipe Perks.

3. Using Polypipe Perks

We ask that you follow some rules when using Polypipe Perks and its website. You must not:

  • Upload anything that is obscene, defamatory, abusive, or threatening.
  • Use Polypipe Perks for any illegal purpose.
  • Use Polypipe Perks to do anything that could harm our reputation. 
  • Try to hack the Polypipe Perks website. 
  • Use Polypipe Perks to post spam.
  • Remove any trademark, logo or copyright. 

You shall co-operate fully with all Polypipe Building Products staff, and anyone appointed on Our behalf. Failure to do so could lead to your account being removed from Polypipe Perks, at Our discretion.

4. Earning points

Polypipe Perks allows you to collect points from each valid purchase of any eligible Polypipe Building Products item from a merchant in the UK or online. You can view the full list of eligible products here.

To collect points, you must provide proof of purchase in accordance with the guidance below, within 2 months of the date of purchase. See our FAQs page on how to upload your receipt to your account on www.polypipeperks.co.uk.

The receipt needs to clearly state the total cost of each line of Polypipe Building Products items. This is so that the value of the purchased goods can be viewed and the corresponding points can be credited to your account. For every £1 you spend on eligible Polypipe Building Products items, you will receive 1 loyalty point. You can view your points balance in your dashboard once you have logged into your account at www.polypipeperks.co.uk.

We may award bonus points for specific activities such as purchases of specific products during a certain period of time, or other promotional or marketing activities, which We retain the right to do at Our sole discretion. This will be announced on www.polypipeperks.co.uk and communicated via email. 

Once points have been awarded, you can redeem them in accordance with the Polypipe Perks Terms. Please note the following:

  • Each valid Polypipe Building Products purchase can only be used once to collect points.
  • Points will be calculated on a line by line basis, on the price of the product purchased, NET of any discounts and excluding VAT.
  • Points are not awarded for purchases of less than £1.
  • Points will be rounded to the nearest pound (i.e. £1.49 and under will be 1 point, £1.50 and over, will be 2 points).
  • Points will be awarded once the transaction has been verified. Following this verification, points will be awarded to your account within 4 working days. 
  • Points are only awarded if the company details on the invoice or receipt match those on your account. We cannot accept delivery notes as proof of purchase. 
  • You will not receive points for any purchases made prior to September 16th 2022 which is two months from the launch date of Polypipe Perks (November 16th 2022).
  • If you return all or some of the Polypipe Building Products products after points have been awarded, We reserve the right to cancel the points or amend your points balance in proportion to the amount refunded.
  • Each account can register purchases up to a maximum value of £1200 per calendar month. Any invoice uploads past this amount will not receive points. 
  • Rewards are as stated, and no cash or other alternatives will be offered.  Rewards are not transferable.  

5. Redeeming points for perks

To redeem points, log into your Polypipe Perks account, browse the rewards catalogue and select ‘Request Perk’.

We have appointed Loyalty Works to manage the prize fulfilment (Company Number 09971883, registered address Ghyll Beck House, Gill lane, Yeadon, Leeds, LS19 7SE). This means that Loyalty Works will receive the address and contact details of your Polypipe Perks account and will use these details to enable them to fulfil delivery of your requested reward. Details of how your Data will be processed by Us and Loyalty Works is outlined in clause 16. If Loyalty Works have any queries, they will contact you directly. If you have any queries, you can contact Polypipe Building Products via Polypipe.PerksHelp@polypipe.com. Once your request has been received by Loyalty Works, they will notify you of the expected delivery date for your requested reward. 

You cannot cancel a reward after your points have been redeemed against it. 

6. Dormant accounts

If you have not interacted with Polypipe Perks (defined as uploading a receipt or redeeming points) for 12 months We will reset your points balance to zero. You will be notified of this 30 days beforehand and if there is still no interaction, the unused points will be terminated. 

7. Beginning and termination

Once you receive your account verification email from Us, your membership has begun with Polypipe Perks. 

If you commit fraud, misuse, or breach our Polypipe Perks terms (yourself or anybody using your account), We may immediately terminate your account, removing any points accrued. We will provide written notice outlining the reasons for your account termination. 

You can choose to stop using Polypipe Perks at any time. You need to contact Polypipe.PerksHelp@polypipe.com to terminate your participation. By doing this, you agree that all points on your account will be forfeited. If you haven’t interacted with Polypipe Perks for 12 months We will give you notice about removing your account. Your notice for non-use gives you 30 days to interact by uploading receipts or redeeming your points.

If you do not comply with our Eligibility Criteria at any time, We reserve the right to terminate your account and provide you with written notice explaining the reasons. All points on your account would be forfeited.

We reserve the right to discontinue Polypipe Perks at our sole discretion. If We decide to do so, We will give you 30 days advance notice so you are able to redeem your points in accordance with Polypipe Perks terms. Following the closure of Polypipe Perks, any unredeemed points will be deleted from your account.

8. Transfer of rights and obligations

We reserve the right to transfer our rights and obligations under Polypipe Perks terms to another organisation, at our sole direction. Should this circumstance occur, We will always notify you in writing and your rights will not be affected.

You may not transfer your rights or obligations under Polypipe Perks terms to another person or company. 

This agreement does not give rise to any rights under the Contracts (Rights of Third Parties) Act 1999 to enforce any term of this agreement.

9. Changes to Polypipe Perks Terms

We reserve the right to change and/or modify Polypipe Perks and any of these terms at any time at our sole discretion and without notice. Your continued use of Polypipe Perks after such changes will account for your acceptance. If you do not agree to changes to Polypipe Perks terms, you must close your account and stop participating.

10. Enforcing the Polypipe Perks Terms

Each of the paragraphs of these terms operates separately. If any court or relevant authority decides that any of them are unlawful, the remaining paragraphs will remain in full force and effect.

We reserve the right to delay enforcing these terms and can enforce at a later date at our sole discretion. Such a delay does not constitute a waiving of our rights or absolve you of your responsibilities as outlined in these terms. Should We choose to waive any part of these terms, it will be on a case-by-case basis, with the specific details given to you in writing, and will not constitute a change in terms or a precedent for future waivers.

11. Governance of the Polypipe Perks Terms

This agreement and any dispute or claim (including non-contractual disputes or claims) arising out of or in connection with it or its subject matter or formation shall be governed by and construed in accordance with the law of England and Wales. Each party irrevocably agrees that the courts of England and Wales shall have exclusive jurisdiction to settle any dispute or claim (including non-contractual disputes or claims) arising out of or in connection with this agreement or its subject matter or formation.

12. Content ownership

At all times, the content on www.polypipeperks.co.uk  is owned by Polypipe Building Products and our third party providers.

13. Disclaimers

Should you misuse your membership of Polypipe Perks or fail to comply with any of the Polypipe Perks Terms outlined herein, We reserve the right to deactivate your account. We do not need to give notice, and this will delete any points you have accumulated.

Whilst We will make every effort to keep the  www.polypipeperks.co.uk platform secure, you acknowledge that there are inherent security, privacy and confidentiality risks in accessing or transmitting information through the internet and that participation in Polypipe Perks is done so at your own risk. 

14. Liabilities

We accept no responsibility or liability for any losses for any reason whatsoever.  For the avoidance of doubt, your participation in Polypipe Perks is separate to the purchase of eligible products. The applicable Sales Terms and Conditions apply to any eligible product purchase.

15. Third Party Products and Services

We may signpost users of Polypipe Perks towards third party content for information purposes. We are not responsible for any content of any third party platform or resource and you access this content at your own risk. Once using third party content, their own terms and conditions will apply. 

16. PROTECTING YOUR DATA AND HOW YOUR DATA IS USED.

This section provides the information of which we are obliged to make you aware, under the Data Protection Act 2018 (as updated from time to time) which implements the General Data Protection Regulation ((EU) 2016/679) (“DPA”). We and Loyalty Works confirm that at all times, we will process any personal data (being data relating to a living individual) provided by you to us/Loyalty Works, in accordance with the DPA.

16.1. We are the data controller of all personal data We hold about you which We supply to Loyalty Works in order to fulfil the Polypipe Perks reward scheme, outlined herein.  We have appointed Loyalty Works to operate the processing of rewards on Our behalf, therefore they will need to process your data (including any personal data you supply) in order to operate the Polypipe Perks rewards.  Accordingly, they are the data processor.  Loyalty Works will also take steps to ensure the information they hold about you is complete, accurate and up to date.  Loyalty Works or their representatives may contact you for these purposes.  The terms “data controller” and “data processor” are both defined terms and have specific meanings under the DPA.  In order to participate in the Polypipe Perks, you need to consent to us and Loyalty Works processing your data (including personal data) to enable Us to operate the scheme.  By agreeing to these Terms, you will be deemed to have consented to such processing.  You can object to such processing at any time by contacting Us/Loyalty Works at Polypipe.PerksHelp@polypipe.com.  However, you must understand that if you do not allow Loyalty Works to process your data, you will not be able to participate in Polypipe Perks. If you need Us to clarify in any more detail how your data is processed, you can contact Us at any time.

16.2. In order to provide the rewards to you, We and Loyalty Works will collect and process the following data from you:

16.2.1. Information about you that you give us by filling in the claim form on www.polypipeperks.co.uk or by corresponding with Us and/or Loyalty Works by phone, e-mail or otherwise.

16.2.2.  There may be occasions where We ask Loyalty Works to contact you to ensure the data We hold about you is correct and/or to determine any information which We need to operate the scheme, which is missing from Our records. Loyalty Works will provide that information to Us, and they will also keep a copy of such data for the purposes of operating Polypipe Perks. Loyalty Works may need to use authorised agents throughout the duration of the scheme and will ensure that any data provided to their authorised agents is the minimum required to enable them to fulfil their obligations to Loyalty Works in operating the scheme. All authorised agents will be subject to Loyalty Works Privacy Policy. If you would like information about the authorised agents Loyalty Works use for these purposes, please contact Loyalty Works.

16.3. How will we and Loyalty Works use your data: We and Loyalty Works will use your data for the following purposes only:

16.3.1. To enable you to participate in Polypipe Perks;

16.3.2. To manage your membership of Polypipe Perks. This will include:

  • Contacting you to send you any updates about your registration.  Such updates may be sent by Us or Loyalty Works.
  • Us and/or Loyalty Works contacting you to tell you about prizes and incentives which could be available to you.  You must agree to receive such updates in order to participate in Polypipe Perks.  If you do not wish to receive updates, you will not be able to participate in the scheme.

16.3.3 To inform you of future promotions, product information, training opportunities and other marketing messages. You can opt out of receiving this information at any time by contacting Us/ Loyalty Works or pressing the unsubscribe button on any of Our communications.

16.4. You can obtain further information about how We and Loyalty Works process personal data by reading our Privacy policy and Loyalty Works’ Privacy policy .

16.5. In relation to any personal data that We and/or Loyalty Works, on Our behalf, process, We and Loyalty Works will not retain any personal information you provide to Us for longer than is allowed under the DPA,  and any personal information will not be kept for longer than necessary for the purpose we will use it for.

16.6. All prizes offered through Polypipe Perks by Loyalty Works are supplied by third parties.  We or Loyalty Works may need to send certain information to these third parties for the purposes of supplying your reward. Any information supplied for these purposes will be the minimum required for the fulfilment of the reward/scheme. In accepting these Terms, you agree for Polypipe Building Products and/or Loyalty Works to supply this information to those third parties. For more information about the third parties who are used to supply rewards (including who they are and what information they will receive), please contact Loyalty Works. When you redeem your reward, by accepting the reward you are agreeing to be bound by the terms and conditions of any third party supplier of the prize.  It is your responsibility to carefully check and read the terms and conditions of the supplier of your reward.

17. Marketing Consent

By registering for a Polypipe Perks account, you consent to Polypipe Building Products retaining your contact details for marketing purposes. You may withdraw this consent at any time by contacting Polypipe.PerksHelp@polypipe.com. Please note, withdrawal of this consent will also mean withdrawal from the Polypipe Perks scheme in accordance with clause 2.
